These Terms of Service ("Terms") are a legal agreement between you and SpecialtyDox LLC ("SpecialtyDox," "we," "us," or "our"). By accessing dox.care, using the SpecialtyDox platform, contracting for SpecialtyDox services, receiving care at a SpecialtyDox-powered practice, opting in to SMS messages, or otherwise engaging with our services, you agree to be bound by these Terms and by our Privacy Policy.
If you do not agree, do not use dox.care or SpecialtyDox-powered services.
SpecialtyDox is a healthcare technology platform offered to licensed providers, medical practices, and DME suppliers. The platform comprises the following modules: DoxEHR (electronic health record, scheduling, charting, intake forms), DoxBilling (claims, ERA, denials, AR, eligibility), DoxScribe (AI-assisted clinical documentation), DoxRTM (remote therapeutic and physiologic monitoring), DoxDME (durable medical equipment workflow and compliance), DoxFinance (accounting, AP, payroll), DoxCredential (credentialing), and DoxVoice (AI voice-agent for outbound scheduling and onboarding). Practices subscribe to one or more modules depending on their needs.
For patients of SpecialtyDox-powered practices, "Services" includes the patient portal, intake forms, SMS communications, voice communications, and any other functionality your practice has enabled.

Sender: +1 (512) 675-6718, an A2P 10DLC long-code registered with The Campaign Registry under SpecialtyDox LLC. Some SpecialtyDox-powered practices use their own A2P 10DLC sender numbers, which will be identified in the sender display.
If you opt in, SpecialtyDox (or a SpecialtyDox-powered practice on whose behalf we send messages) will send you text messages related to your care, including:
You may opt in to the program in any of the following ways. Each method presents the exact consent disclosure shown below before any messages are sent.
Your opt-in is never required as a condition of treatment, purchase, or any other transaction. You will still receive care if you decline SMS.
Frequency varies by your clinical program and stage of care. Typical ranges:

You can opt out at any time by replying STOP, END, QUIT, CANCEL, UNSUBSCRIBE, STOPALL, or REVOKE to any SpecialtyDox-originated text message. After we receive your opt-out, we will send a single confirmation: "You have been unsubscribed from these text messages and will not receive any more. Reply START to opt back in."
You will receive no further non-emergency SMS messages from SpecialtyDox (or the practice that sent the original message) after the confirmation. Re-enroll at any time by replying START or contacting your practice or SpecialtyDox at support@dox.care.
Reply HELP to any message to receive: "SpecialtyDox: For help, email support@dox.care or call (512) 675-6718. Reply STOP to opt out."
SpecialtyDox does not charge for SMS messages. Message and data rates may apply depending on your wireless plan. Check with your carrier.
Supported carriers include AT&T, T-Mobile, Verizon Wireless, US Cellular, Boost Mobile, Cricket Wireless, MetroPCS, and most US-based MVNOs.
Your mobile number, SMS opt-in record, and the content of messages exchanged with SpecialtyDox or a SpecialtyDox-powered practice are protected under our Privacy Policy. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with our SMS delivery subprocessor (Twilio Inc.) and other subprocessors listed in the Privacy Policy is permitted only to operate the service on our behalf.
SpecialtyDox's DoxVoice module may place outbound voice calls to your phone number for purposes including appointment scheduling, onboarding follow-up after a referral, and clinical check-ins. Some outbound voice calls are placed by an AI voice agent that uses speech-to-text (Deepgram, Inc.), large language model technology (Anthropic, PBC), and text-to-speech (Deepgram, Inc.) to hold a natural-language conversation with you. The agent will identify itself as an AI assistant at the start of the call.
Voice calls are recorded and transcribed for quality, training, and clinical-documentation purposes consistent with our Privacy Policy and applicable law. You may decline to continue at any time by saying so or hanging up.
SpecialtyDox is a technology platform that supports clinical workflows; it is not a substitute for clinical judgment. Clinical decisions are made by your treating provider. AI-generated documentation drafts (DoxScribe), AI-generated voice and SMS responses, and clinical decision-support content are provided as drafts and recommendations for a licensed clinician's review — they are not, in themselves, medical advice and must be reviewed and approved by a clinician before being acted upon.
If your condition is acute, worsening, or you have symptoms such as chest pain, difficulty breathing, fainting, suicidal ideation, or a sleep-related event requiring urgent attention — call 911 or go to the nearest emergency department immediately.
Practices using SpecialtyDox to store, transmit, or process PHI must execute a Business Associate Agreement (BAA) with SpecialtyDox LLC prior to creating any patient record. Patient users interact with SpecialtyDox under the umbrella of their treating practice's Notice of Privacy Practices.
To request a BAA, contact support@dox.care. BAAs are executed within 3 business days of request. See our Privacy Policy — HIPAA section for more detail.
SpecialtyDox practice subscriptions are billed monthly or annually per the order form between SpecialtyDox LLC and the practice. Patient-facing payments (copays, balances) are processed by Stripe, Inc. on behalf of the practice; SpecialtyDox does not store full payment-card numbers. Failed payments may result in suspension of access following written notice and a cure period as set out in the practice's order form.
We may suspend or terminate your account, opt impacted recipients out of SMS, and report violations to The Campaign Registry, Twilio, and law enforcement.
The dox.care website, the SpecialtyDox brand (including DoxEHR, DoxScribe, DoxRTM, DoxDME, DoxBilling, DoxFinance, DoxCredential, DoxVoice and related marks), our clinical templates, dashboards, AI prompts, and software are owned by SpecialtyDox LLC and protected by US and international copyright, trademark, and trade-secret law. You receive only a limited, non-exclusive, non-transferable license to access and use them under these Terms and under any subscription agreement between SpecialtyDox LLC and your practice.
You retain ownership of the clinical content, patient records, and other materials your practice inputs into the platform; you grant SpecialtyDox LLC a limited license to use that content solely to provide the Services.
You may not reverse engineer, decompile, disassemble, copy, scrape, or create derivative works of the platform or its software, in whole or in part, except to the limited extent applicable law expressly permits notwithstanding this restriction. Components of the platform are patent pending (US Provisional Application No. 64/079,149) and the platform software is registered with the U.S. Copyright Office. All rights not expressly granted are reserved by SpecialtyDox LLC.
Except where prohibited by law, dox.care and the SpecialtyDox platform are provided "as is" and "as available" without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the platform will be uninterrupted, secure, or error-free. AI-generated content (clinical documentation drafts, voice/SMS responses, clinical decision-support content) is provided as a draft for a licensed clinician's review and is not warranted to be free of errors or omissions.
To the maximum extent permitted by law, SpecialtyDox LLC and its officers, employees, contractors, and affiliates are not liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits or revenues, whether incurred directly or indirectly. Our aggregate liability for any claim arising out of or relating to these Terms or your use of dox.care is limited to the greater of (a) US $500 or (b) the fees you paid to SpecialtyDox LLC in the 12 months preceding the claim. Nothing in these Terms limits liability for fraud, gross negligence, or any liability that cannot be limited under applicable law.
You agree to indemnify, defend, and hold harmless SpecialtyDox LLC and its officers, employees, contractors, and affiliates from any claim, loss, liability, or expense (including reasonable attorneys' fees) arising out of your violation of these Terms, your misuse of dox.care, or your violation of any applicable law (including HIPAA, the TCPA, and CTIA Messaging Principles).
These Terms are governed by the laws of the State of Texas, without regard to its conflict-of-laws rules. Exclusive jurisdiction and venue for any dispute arising out of these Terms or your use of dox.care lie in the state and federal courts located in Travis County, Texas, and you consent to the personal jurisdiction of those courts. Nothing in this section prevents either party from seeking equitable relief in any court of competent jurisdiction.
We may update these Terms from time to time. The "Last Updated" date at the top will reflect the most recent revision. Material changes will be communicated via the website, the practice portal, and (for active patients of SpecialtyDox-powered practices) via SMS or email at least 14 days before they take effect. Your continued use of dox.care after the effective date constitutes acceptance of the revised Terms.
